Set the requirement before quotation
Specify the required inspection document and any project-specific test requirements in the inquiry. Include the relevant product standard, grade, condition and order references. Do not assume that a generic company certificate or an example material report will satisfy the project. The proposed document package should be agreed before an order is placed.
Read the record against the purchase specification
On receipt of the documentation, check the producer identification, grade, product description, heat or batch references, dimensions and stated condition. Compare the reported chemical and mechanical results with the applicable ordered requirements and thickness range. Where supplementary tests were specified, check that the report identifies them. A document review should be carried out by the responsible purchasing or quality personnel; a website summary is not an acceptance standard.
Keep identification through processing
Cutting a plate into smaller blanks creates a practical traceability question: how will each piece remain connected to its source material? Agree marking, labels, part numbering and the transfer of heat references before processing. For architectural work, distinguish part identification from visible-face marking that may affect the finish. Your drawing and packing list should use consistent part references.
Resolve differences before release
If a report, marking or delivered item does not match the order, record the discrepancy and seek clarification before accepting a substitution.
